Privacy Policy

Overview

Zen Inbox is an email client for Gmail and Outlook. This policy describes how we handle your information when you use the Zen Inbox Android app and related services.

Information we collect

• Email address and display name from your connected Gmail or Outlook account
• Email content (subject, body, metadata) to sync your inbox, classify messages, and provide AI summaries
• OAuth tokens to maintain your mailbox connection (encrypted on our servers)
• Device identifier and push notification token for account linking and alerts
• Purchase information when you subscribe to Zen AI Premium (verified via Google Play)
• Crash and diagnostic data (anonymous support ID, app version, device model — no email content) via Sentry
• Calendar data only if you enable calendar integration

How we use your information

• Sync and display your email
• Surface bills, travel, and action items in the Planner
• Generate AI summaries and reply suggestions (Premium)
• Send push notifications for new mail
• Manage subscriptions and account limits
• Diagnose crashes and improve app stability

Where data is stored

On your device: Emails, folders, and app settings are cached locally. Removing an account or uninstalling the app deletes local data.

On our servers (Firebase/Google Cloud): Account metadata, encrypted OAuth tokens, device/FCM tokens, and subscription status. Email content is processed for AI features but not stored long-term as a full mailbox archive.

Third-party services

• Google — Gmail API, Google Sign-In, Firebase, Cloud Messaging, Vertex AI
• Microsoft — Outlook / Microsoft Graph API
• Sentry — crash and error reporting (PII scrubbed)
• Google Play — subscription billing

Each third party has its own privacy policy governing their handling of data.

Data retention

Server-side account records for inactive mailboxes are automatically deleted after 90 days without app activity. You can delete your data at any time — see our Delete Account page.

Your choices

• Disconnect a mailbox anytime in Settings → Remove account
• Disable automatic image loading (off by default for privacy)
• Turn off Show Planner in Settings to stop AI summarization of new emails (existing planner items are kept)
• Request data deletion via support@zeninbox.ca

Children

Zen Inbox is intended for users 18 and over. We do not knowingly collect data from children.

Changes

We may update this policy. The "Last updated" date below will change when we do.
